The short version
You can use the guides, the roof check and the cost estimate without telling us who you are. We only learn your name and contact details if you ask roofers for quotes, and then only the roofers you pick receive them. We don't sell your information and we don't show ads.
What we collect
When you ask for quotes
- Your name, email address, and phone number if you choose phone or text.
- Your ZIP code, and your street address if you give it.
- The job: the service you need, roof material, timing, whether you have an insurance claim, and any notes you write.
- The roof check result if you ran one first (the outcome and urgency, not your answers).
- Which roofers you picked, the exact consent wording you agreed to, when you agreed, and how (our website or the ChatGPT app). On our website we also record your browser's user-agent string with that consent.
- A one-time confirmation code we email you. We store only a scrambled version of it.
When you use RooferMatch in ChatGPT
- Tool calls. When ChatGPT uses one of our tools we log which tool, whether it worked, how long it took, and a trimmed copy of the inputs. We drop names, emails, phone numbers, addresses and notes before logging, shorten ZIP codes to their first three digits, and scrub search text of anything that looks like an email or phone number. We never receive your conversation.
- A conversation marker. ChatGPT sends an anonymous conversation id. We store a scrambled version of it, using a key that changes every month, so we can tell that a roof check and a later roofer search happened in the same chat. It can't be traced back to you, and it can't be linked from one month to the next.
- Rate limiting. ChatGPT also sends an anonymous user id. We use a scrambled version briefly to stop abuse (too many requests in a few minutes) and never store it.
- Roofer card events. The roofer card in ChatGPT tells us when it's shown, when a roofer is ticked or unticked, when a request is sent or confirmed, and any rating you give, along with the conversation marker above. No contact details.
On our website
- Page views. The page path, the site that linked you here, and a campaign tag if the link had one. No cookies for tracking, no IP addresses stored, no advertising pixels.
- Feedback you choose to send, and which request it's about if you send it from your request page.
- A sign-in cookie, for roofers and our staff only.
Why we use it
- To send your request to the roofers you chose and send you a receipt.
- To check the request is really from you (the email code) and to stop spam and fake requests.
- To understand which guides and tools help, what people search for that we haven't covered, and whether roofers respond. That's how we decide what to write and fix next.
- To bill member roofers for requests they receive. Your details aren't part of what we bill.
Who receives it
- The roofers you pick, and only them. They get your name, the contact details you gave, your ZIP and address if given, and the job details. Member roofers agree to use them only for your quote and not to add you to marketing lists or pass you on.
- Service providers that run RooferMatch for us: Postmark, which sends our email; our hosting provider, which runs our servers and database; and Google Maps Platform, which suggests addresses as you type on our website and estimates roof size from aerial imagery when you pick one. They process data on our behalf. We keep only the address you send with a request (with Google's place ID) and the roof size you confirm; Google's suggestions and imagery results aren't stored.
- Anyone the law requires us to tell, if it ever comes to that.
We don't sell or rent personal information, and we don't share it for advertising.
How long we keep it
- Contact details on a quote request: 18 months, then deleted. We keep the ZIP, the kind of job and what came of it without anything that identifies you.
- Requests you never confirm: contact details deleted after one day.
- Detailed tool-call logs: 30 days. After that, only daily totals per tool remain.
- Roofer card events: 90 days.
- Page views and feedback: until we no longer need them for the purposes above.
Your choices
- Your receipt email has a link to your request. From there you can stop any roofer from contacting you or delete your details at any time.
- Email [email protected] to ask what we hold about you, to correct it, or to delete it. We'll answer within 30 days.
- RooferMatch is for adults. We don't knowingly collect information from anyone under 13.
Changes
If we change this policy we'll update the date above. Consent you gave for a request stays exactly as worded when you gave it.
